When to Use the IM Client Screen Shot Tool

In continuing with our theme of how and when to use the Brosix tool kit, a discussion of the screen shot tool seems appropriate. Training your staff on when to use which tool can help them save time, which in turn saves the company money.

You can use the built in screen shot tool in Windows by clicking Print Screen and pasting the screen capture into a Word document or Outlook email message. But here’s the big problem. Those emails are around 2 MB! That can clog up an inbox or even an email server! 

The Brosix screen shot tool allows you to skip the step of pasting, saving, and sending. Pluse, the images are already compressed properly. This spares the corporate email issues or long downloading times and just simplifies a process that should be simple. 

But when?

So when should you be using the screen shot tool instead of the screen sharing or co-browsing features? Error messages are a great example: most of the information needed is already on the screen, so there is no need to screen share and troubleshoot. Just send the screen shot and you’re done. 

Another point to make here is that the screen shot tool lets you send the image and move on. You don’t have to wait for an immediate response from the other party like you would with screen sharing and co-browsing. Just right-click the person’s name in Brosix, select the Screen Shot tool, and you are done. When they can get to the problem the screen shot will be waiting for them, but you don’t have to be.

Final thoughts

The screen shot tool is a grab now, solve later solution. Sometimes you just need to move on and get other stuff done. If you get an error message or something on your screen you don’t expect, just capture a screen shot and send it to the right person. No need to wait around. And the the Brosix screen shot images are already compressed and won’t clog up inboxes.
